- Responsible to: LESS Directors, line managed by the Grower/FarmStart Trainer
- Salary: £28,523 per annum (pro-rata £5,705 for 15 hours per week for 6 months)
- Hours of Work: 15 hours per week, with flexibility to organise work across the week to meet job demands effectively, but with Thursday as a fixed day.
- Start and End date: 15 May to 15 November (6 Months) 2025
Purpose of the Role: To oversee the efficient packing and fulfilment of organic vegetable orders while managing the administrative and customer service aspects of the crop-share scheme and wider sales. The role calls for a highly organized individual who can balance hands-on vegetable packing at the farm and skill-sharing with FarmStarter trainees while also maintaining accurate digital records, responding to customer enquiries, and ensuring smooth operations throughout the week.
Place of Work: The Plot (Old Holly Farm and White Lund) and other growing sites within the Lancaster District. Travel between sites may be required; use of your own vehicle is desirable. The role will primarily be based at The Plot at Old Holly Farm.
About You: You have demonstrable experience working on commercial agroecological farms and have completed FarmStart training or a similar programme, ideally in the North West. You have a strong interest in agroecology and organic horticulture, box scheme coordination, and customer administration, with a proven ability to manage efficient, accurate packing and administrative systems. You are highly proficient in using Google Drive and Google Sheets for record-keeping, tracking sales, and managing orders.
This role requires excellent time management skills, as you will need to plan and distribute your hours effectively throughout the week to balance hands-on work with administrative and customer service responsibilities.
Key Responsibilities:
- Establish and coordinate an efficient vegetable packing process at The Plot.
- Ensure orders are fulfilled accurately and efficiently.
- Assist with produce deliveries to collection points and customers when needed.
- Co-create and send Monday communications to crop-sharers and other agreed correspondence.
- Supervise and share knowledge with FarmStart trainees and volunteers involved in the picking/packing process.
- Ensure compliance with organic certification standards, including record-keeping and labelling/packaging requirements.
- Manage customer administration, responding to queries and communicating with customers as needed.
- Maintain delivery notes, accurately logging and reviewing daily sales in the Plot Sales Figures spreadsheet, and uploading delivery notes to Google Drive to support finance team invoicing.
- Monitor and improve online and other ordering systems to enhance efficiency and accuracy.
- Proactively manage risks relating to labelling and packing, ensuring appropriate risk assessments, mitigation measures, and briefings for staff and volunteers.
- Contribute to the development of the Staff Handbook.
- Assist in creating the weekly harvest list.
- Provide regular updates and reports on project progress, achievements, challenges, and risks via the project coordination group.
- Participate in strategic discussions about site and project developments.
- Represent LESS CIC and The Plot professionally and respectfully across all sites and stakeholders.
- Maintain cleanliness and organisation of the packing shed and classroom in line with Environmental Health Standards.
- Adapt to additional tasks as agreed with LESS Directors should project plans evolve.

Essential criteria:
Packing and order fulfilment:
- Experience in packing and distributing produce in a small-scale commercial setting.
- Strong attention to detail to ensure order accuracy and quality control.
- Outstanding customer service experience in line with the values of the project.
- A full, clean UK driving licence
- Willingness to work occasional evenings and weekends as required.
People and project coordination:
- Enthusiastic, proactive, and collaborative approach to teamwork and problem-solving.
- Experience running a food distribution model and/or working cooperatively with growers and distributors.
- Strong verbal and written communication skills.
- Ability to follow organisational policies and procedures.
- Excellent organisational and time-management skills, with the ability to prioritise work and work independently.
- Experience working effectively with volunteers and trainees.
- Knowledge of and commitment to food sovereignty, agroecology, organic food production, and alternative food distribution models.
Technical skills:
- Highly proficient in using Google Workspace and Drive and Google Sheets for managing orders, tracking sales, and record-keeping, email, the internet, word processing, Zoom, and Excel.
- Experience using online ordering and customer administration systems.
Desirable criteria:
- Experience working within organic certification or similar regulatory frameworks.
- Experience working with stakeholders in the food sector, including growers, farmers, caterers, community groups, and retailers.
- Five or more years of experience working on organic farms.
- Your own vehicle with business insurance
